What we collect and why -

Information is collected, stored and processed by Monty’s Dogs.

We collect and retain client contact details (name, address, email and phone number) and emergency contact details in order to communicate with clients and potential clients as well as to complete our services safely.

We do not knowingly store cookies from our website and do not use Google analytics to collect data.

The lawful basis for us to collect and process the above information is that our processing is necessary ‘in order to take steps at the request of the data subject prior to entering into a contract’. Further to this, information we hold on clients has been provided to us by the client. Information regarding emergency contacts is also given to us by the client. At the time of clients providing this information, we provide our privacy policy so that clients can consent to us collecting and processing this information. The information collected and retained is then needed for us to perform the contract agreed with clients. 

For bookkeeping and records we need to retain some information regarding services provided and payments. For this, clients are assigned a number which is used in place of identifiable client information. This allows us to maintain our records for the necessary tax period even when client information is deleted. We are unable to delete information held by our bank, including the information shown on our bank statements. 

 

How your data is stored -

All physical copies of information collected are stored in locked storage on our property. Digital copies are stored on password protected devices on password protected cloud storage. Digital communication is on password protected devices.  

Information obtained on paper contracts and forms will be inputted and stored digitally also to enable secure access on the go and to manage our records.

 

How long your data is stored -

Details and communication records are stored for 1 year from the last communication to enable effective communication and continuity of services.

After this we delete any information regarding the client or potential client, including records of communication so that no personal details are held on any of our devices.

We will also delete details and communication held at request.

As the information we hold is necessary for us to contact clients, arrange services and perform services safely, if requested to delete client details, we will be unable to provide services to this client unless details are provided again. If an emergency contact requests their information to be deleted, we will ask the client for an alternative emergency contact.

 

How your data is shared -

As well as Monty’s Dogs, for safety reasons, my partner has access to the collected information. They will only access the information to give details to me if technological issues arise or in case of emergency or safety concerns. 

My partner is also provided with a record of addresses we are going to on a given day for safety, but this does not display other personal information. 

We will not share the information outlined in our privacy policy with anyone other than Monty’s Dogs, my partner or the relevant authorities if necessary.

Please contact us if you would like to know what information is held, correct any information held or delete information held. 

If you have concerns about how your details are collected or held, please notify us so we can investigate it. Concerns can also be reported to the ICO. 

 

Reviewing our policy -

We renew our policy annually and any updates will be posted on this page as well as being sent to any current clients highlighting any changes. Following any concerns highlighted regarding our privacy policy we will also review the policy and make any necessary changes.
